Position Summary
The Administration and Operations Assistant provides essential administrative and operational support to Shasta Scout’s leadership team. This part-time role supports day-to-day organizational operations by coordinating administrative matters related to internal operations, including communication, finances, and growth —helping to ensure the newsroom runs smoothly and efficiently as we continue to grow.
This is an ideal role for someone who is highly organized, detail-oriented, and comfortable supporting multiple workstreams in a small, mission-driven nonprofit environment.
Key Responsibilities
- Administrative & Executive Support
- Draft, track, and organize correspondence and internal documents
- Assist with preparation and follow-up for internal and external meetings
- Pick up mail, deposit checks
- Manage and maintain the Executive Director’s calendar
- Financial & Operational Support
- Develop payment and invoicing systems as needed
- Prepare draft invoices for Executive Director review and approval
- Track invoices and payments to ensure timely processing
- Support reimbursement tracking and documentation
- Help maintain organized financial records in coordination with leadership
- Coordinate communication with donors in response to gifts
- Governance & Compliance Support
- Manage correspondence and filings related to state and nonprofit compliance
- Assist with board meeting preparation, including agendas, materials, and scheduling
- Update board meeting calendars and support follow-up documentation
- Development Support
- Maintain and update awards and grant calendars
- Manage grant submission timelines and process
- Manage award submission timeline and process
- Manage membership fulfillment
- Provide administrative support to the Gifts and Membership Manager as appropriate
- Editorial Support
- Track and update court dates for team
- Upload and file print and digital court files
- Pick up court files as needed
- Track FOIA requests and downloads into document cloud
- Organize leads, sources, tips – track responses
- Audience Engagement and Events Support
- Assist with event coordination and logistics as needed
- Coordinate social media scheduling
Qualifications and Experience
- Previous administrative, operations, or office support experience (nonprofit experience a plus)
- Strong organizational skills with excellent attention to detail
- Comfort handling calendars, invoices, and basic financial tracking
- Ability to manage multiple priorities independently in a small team environment
- Proficiency with common office tools (Google Workspace or similar)
- Strong written communication skills
- Ability to work both independently and collaboratively
Work Environment & Compensation
- Hybrid role with a mix of in-person and remote work
- Flexible scheduling within agreed-upon weekly hours
- Occasional additional hours may be requested around board meetings or events (with advance notice)
- Hourly rate between $18–$22, based on experience
- Part-time, non-exempt position

About Shasta Scout
Shasta Scout is a nonprofit, independent newsroom dedicated to producing rigorous, community-centered journalism for and about Shasta County and the greater North State region. Our innovative online news service strengthens democracy by providing access to trustworthy information in a way that deepens and empowers engagement with the news, our neighbors, and people in power. We investigate issues that matter, amplify underrepresented voices, and foster civic participation by ensuring residents have the information they need to make informed decisions and build a stronger community.
We are an emerging team with three full-time employees and one part-time staffer. We provide news as a service across a rural region of far northern California where many community members currently lack access to trustworthy information. Shasta Scout’s funding comes from a combination of reader donations, grants from news ecosystem funders, collaborations with other organizations and gifts from large donors. This year that revenue is funding a budget of about $450,000 which facilitates publication on our website, distribution of two newsletters and news shared on a variety of social media with plans to launch a print edition this year. In all, Shasta Scout currently reaches an audience of about 20,000 each month.
About Shasta County:
Shasta Scout serves Shasta County, a rural far northern California community with a population of approximately 180,000 located two and a half hours north of Sacramento and an hour south of the Oregon border. The area is of significant environmental importance to California. In addition to our numerous beautiful public lands and forests, several culturally, economically and ecologically important rivers flow through our region, which is also home to Shasta Dam, the keystone of the Central Valley Project.
Shasta County is also home to a dense Indigenous community including multiple tribes, several of which are federally unrecognized. Some of these, particularly the Winnemem Wintu and Pit River Tribes, are engaged in high-profile resistance movements against development projects that threaten their tribal cultures and ancestral lands.
Demographically, Shasta County is predominantly white and conservative. We’re a hotspot for movements hoping to secede from the state of California including and for for militia-connected political activism. Bethel Church, an international megachurch with local and national political influence — and a penchant for political activism — is one of the largest employees in our region.
Our community also faces many health challenges, including poverty, a lack of affordable housing, and the highest suicide rate in the state.
